Admin Assistant
Job Description:
-Front desk & lobby management
-Inbound/outbound telephone & call management
-Vendor/Contractor identification, follow-up, quotations, negotiations, material procurement, execution, and ongoing management
-Administrative assistance
-Coffee/Snack/Meal management
-Company transportation and security management
-Internet research
-Clerical & Facilities management
Domestic staff management (including drivers, maids, peons, etc.)
Mange Company Guest Quarters
-Manage contractors & schedules
-Planning Travel, Company Events & Management Schedules
-Running around the city (sometimes)
-Employee time log
-Relationships Management (greeting cards, gifts, invitations, etc.)
-Office maintenance & cleanliness
-Office supplies, stationery, business cards, and inventory management
-Fax, Copying, Scanning, Data-entry & E-mail communications
-Banking, Insurance Upkeep (deposits, maintaining fixed assets list, etc.)
-Mileage and Travel Planning & Management
-Shipping, Customs, & Imports
-Assist other managers as necessary and depending on workload
• Maximum 6 – month experience as an Administrative Assistant in a fast paced technology company or Maximum 6 – month experience as a Front Desk/Receptionist/Secretary in a fast paced technology company
• Experienced in handling telephones, PBX/switchboard, and related administration
• Experience in managing multiple tasks, personality orientation and proven experience toward meeting objectives in a timely manner, handling/maintaining statuatory paperwork & related filings, procurement, vendor management, and facility management
Job Skills:
-Excellent organization and follow up skills
-Excellent written (both grammar and substance) and spoken communication skills and presentation skills an absolute must. Entire schooling in English medium a must
-MS-Office, E-mail, and Internet usage and research savvy – a must
-Good negotiation skills
-Good Marathi and Hindi language skills
-Integrity, ambition, drive, passion, confidence, dedication, hard working – ALL A MUST
